Mid-shift: what to keep an eye on
Six questions to ask yourself every hour, and two shift closes during the day
There is no checklist mid-shift, but there are six things that get forgotten when the store is busy. Ask yourself these six questions once every hour.
Six questions every hour
- Is the ice still above one third of the bin? Below that, call the supplier, do not wait until it runs out.
- Are the pearls still within time and enough? Over 12 hours means discard; running low means cook a small batch.
- Have guest messages and the hotline inbox been answered? Nothing carries over to the next shift.
- Is the bin over 80% full? If so, empty it, do not wait for full.
- Was the guest table wiped right after it was cleared? Is the glass smudged?
- Are the delivery apps still OPEN? Have orders with a set time been prepared first?
Two shift closes during the day
Shift close 1 at 11:45 and shift close 2 at 16:45, just as the next shift arrives. Each takes 15 minutes, three tasks:
- Wipe the cashier counter, outside included. The counter must be wiped before every handover.
- Count the shift's takings: 100% matching the POS, receipts and payments. Count twice, in front of a second person. Reconcile cash, bank transfers, e-wallets and apps. Any difference must carry a reason and the person responsible.
- Send the shift close record: clear figures, a photo showing the whole sheet and the signatures, sent to the Operations group as soon as it is signed. A difference over 50,000 VND must be confirmed by the manager the same day. The record has a "Cards included" box: the number of cards must equal the number of orders.
The incoming shift: cash counted, stock counted, signed off. Read guest messages, take the four takeover photos and send them to the Operations group, just like at opening.
Recording anything unusual
Anything out of the ordinary during the shift goes into the handover log: honest, clear, complete, with someone confirming. Incidents that need their own report are taught in the module When something goes wrong.
If you are the one checking: The photo of the shift close record must land in the Operations group on time: 12:00, 17:00, 22:00. A late photo is your first question the next day.
Stand next to the shift leader for one shift, ask yourself the six questions every hour and say the answers out loud. After the shift, recall the times you spotted something before the shift leader did.
